Why should we use a Reunion Management Company
like Classic Reunions?
There are four questions that every committee should ask themselves
when looking at planning their high school reunion:
1. Do we have the time?
2. Do we have the resources (people & financial)
3. Do we want to take the financial risk?
4. Do we want to take the liability risk?
If you
answer “no” to any of these questions then you want to hire a
professional Reunion Management Company who specializes entirely in the
planning of high school class reunions. Since 1995, Classic Reunions
has specialized in the planning and coordinating of high school class
reunions. There are no other events to compete for our time; we are
experts in our field. We do have the time and expertise to devote to
all the details involved in planning a successful reunion.
With
over a decade of reunion planning experience and over 700 reunions
planned, we have the resources to help you. A Reunion Manager is
assigned to personally work with each Reunion Committee from day one
through the night of your reunion. We have the financial backing to
cover any/all deposits to facilities and vendors so you don’t have to.
Financial and liability risk is a crucial component when looking at
planning any large event. We will assume the financial risk for the
reunion to include the food & beverage guarantees for your reunion as
well as carry liability insurance to cover your reunion event. We sign
all of the contracts with facility venues and vendors, so the Reunion
Committee doesn’t have to.

What should I do?
Contact Classic Reunions!
We will help you locate other class officers or classmates that could
help you and be part of your Reunion Committee. A Reunion Coordinator
will be assigned to your reunion and will set up an appointment to meet
with you. Prior to the meeting you will want to gather your yearbook,
graduation commencement, and prior reunion information. You will also
want to contact your school to obtain a copy of your senior class list
(this will have the legal names of your classmates and often times the
alumni’s address at the time of graduation).
How far in advance should we start planning the reunion?
The ideal time to begin the planning is 6 – 12 months prior to your
desired reunion date. This provides us ample time to locate your
classmates, secure a venue, and prepare the personalized marketing
pieces for your reunion. Classic Reunions can plan reunions on shorter
notice however; all timelines will be shortened to accommodate the fast
turnaround. We recommend that you get started as early as possible so
that you have the best possible choices of dates and venue locations.
What financial risk does the Reunion Committee have?
Classic Reunions will assume the financial risk of your reunion. Since
we sign the contracts for all facility venues, we are responsible for
the food & beverage minimums required to secure a reunion event. To
engage our services the Reunion Committee will pay a nominal deposit at
the onset of the planning process. This deposit is refundable based on
minimum attendance requirements. When your reunion achieves this goal,
your deposit is refunded to you therefore, costing you nothing to hire
us. In addition, if you surpass your goals, you will receive a financial
bonus through our Committee Bonus Program.
How is the ticket price determined?
A significant factor is the cost of the facility where you will hold
your reunion and the menu that is selected. It’s important to note, the
more unique the facility venue the more desirous and expensive it is.
Classic Reunions has a long standing relationship with many of the
hotels, restaurants and private country clubs throughout Portland,
Vancouver and the Willamette Valley. Because of our valued
partnerships, we are given reduced pricing of custom menus that we can
offer to you. Also remember that a portion of the ticket price goes to
cover other expenses associated with the reunion. These items include
invitation printing, postage, alumni search, decorations, entertainment,
data entry, database management, directory/memory book production, name
tags and reunion night staffing to name a few.
How do we locate all our classmates?
Leave this to us! Since we have exclusively worked with reunions since
1995, we have located and notified more than a ¼ of a million alumni for
their upcoming reunions. We have long established working relationships
with two of the largest public record database management companies in
the country. We search the entire nation to find those “hard to find
classmates”. We guarantee that we will find classmates that you have
not been able to find for any reunion that you have previously had.
What is the Reunion Committee responsible for?
Statistics show that the more involved the committee the greater the
attendance! While Classic Reunions is completely capable of handling all
the tasks involved in planning your reunion, the more involved
committees do have a much higher turnout! Classic Reunions will provide
each Reunion Committee with a timeline of tasks that need to be
completed during the reunion planning process. Some of these tasks
include: writing a letter to be included in your invitation mailing,
personally contacting alumni through personal phone calls and emails,
compiling memorabilia (school pictures, trophies, letterman jackets, pom
poms, etc.) to display at the reunion, creating a memorial display to be
placed at the reunion to honor those alumni who have passed away, and
preparing a reunion night program/presentation for your classmates. The
more you personalize the reunion the better the attendance you’ll have!
